How to Choose the Right Cloud Accounting Software for Your Small Business

On September 24, 2026     By David Thompson

Choosing cloud accounting software is one of those decisions that can feel surprisingly heavy. You know it will save you time, reduce paperwork, and help you stay on the right side of HMRC, but with so many options, where do you start? The good news is that you do not need to find the "best" software overall. You need the best one for your business. This guide walks you through the practical factors that matter: your size, your industry, and your budget.

Start with your business size and structure

Your legal structure and the volume of transactions you handle will narrow the field quickly. A sole trader with a handful of invoices each month has very different needs from a limited company with employees, VAT, and stock.

  • Sole trader: Look for simple invoicing, expense tracking, and Making Tax Digital for Income Tax support. You probably do not need payroll or inventory.
  • Limited company: You will likely need payroll (RTI submissions), VAT returns, statutory accounts preparation, and possibly director's loan tracking.
  • Partnership: Check how the software handles partner drawings, profit splits, and self-assessment.
  • Growing business: If you plan to hire or sell abroad, prioritise multi-user access and multi-currency.

Ask yourself: How many transactions do I process each month? Do I have employees? Am I VAT registered? Will I need to file accounts at Companies House? Your answers will rule out entry-level tools that lack those features.

Match the software to your industry

Generic accounting software can handle the basics, but some sectors need specialist features. Choosing software that understands your industry saves hours of workarounds.

  • Retail and ecommerce: Inventory tracking, stock valuations, and connections to sales channels are essential. Look for low-stock alerts and cost of goods sold reporting.
  • Service-based businesses: Time tracking, project profitability, and recurring invoices matter more than stock.
  • Construction and trades: CIS deductions, subcontractor payments, and retention handling are must-haves. Not all software supports CIS.
  • Charities and non-profits: Fund accounting, gift aid claims, and restricted fund reports are specific requirements.
  • Freelancers and creatives: Simple receipt capture, mileage tracking, and professional invoice templates will serve you well.

Also check VAT scheme support. If you use the flat rate scheme, cash accounting, or annual accounting, confirm the software can handle it. The same goes for any industry-specific reporting you rely on.

Set a realistic budget

Cloud accounting is usually a monthly subscription, and prices range from free for very basic sole trader plans to £50 or more per month for advanced features. Do not simply pick the cheapest option; think about value.

  • Entry-level (£10–£20 per month): One user, basic invoicing, bank feeds, and limited reports. Good for sole traders with simple affairs.
  • Mid-range (£25–£40 per month): Multiple users, VAT returns, and often payroll as an add-on. Suitable for small limited companies.
  • Higher tiers (£50+ per month): Inventory, multi-currency, advanced reporting, and dedicated support. For growing businesses with complex needs.

Watch for hidden costs: extra users, payroll per employee, receipt scanning limits, training, and data migration. A tool that costs £30 per month but saves you five hours of bookkeeping is better value than a £10 tool that leaves you frustrated.

Evaluate the core features you will actually use

It is easy to be dazzled by long feature lists. Focus on what you will use every week.

  • Bank feeds: Automatic transaction import saves enormous time. Check your bank is supported and that feeds are reliable.
  • Invoicing: Customisable templates, recurring invoices, and automatic payment reminders.
  • Expense tracking: Receipt capture via mobile, mileage logging, and the ability to split transactions across categories.
  • VAT: Making Tax Digital compatible, with digital VAT return submission to HMRC.
  • Payroll: RTI submissions and pension auto-enrolment if you employ staff.
  • Reporting: Profit and loss, balance sheet, aged debtors, and cash flow forecasts.
  • Mobile app: For snapping receipts and checking your cash position on the go.
  • Data export: Can you export your data if you switch later? Avoid lock-in.

Make a list of must-haves and nice-to-haves. Be honest about what you will use.

Think about integration, support and scalability

Your accounting software should not live in isolation. It needs to talk to your bank, payment processors, and other tools you rely on.

  • Integrations: Check for connections to your bank, payment gateways, CRM, ecommerce platform, and point of sale.
  • Accountant access: Most cloud tools let your accountant log in securely. Confirm this before you buy.
  • Support: Look for phone, email, or chat support, and check the hours. A good knowledge base and free webinars are a bonus.
  • Scalability: Will the software grow with you? Can you add users, companies, or currencies without switching?
  • Security: Two-factor authentication, encryption, and regular backups are non-negotiable.

Also consider how easy it is to use. A powerful tool that you find confusing will cost you more in lost time than it saves.

Trial before you commit

Most providers offer a free trial, often 30 days. Use it properly. Enter a month of real transactions, run a test VAT return, send an invoice, and try the mobile app. Ask your accountant if they have a preferred system—they will often have experience with several and can advise on what works well for businesses like yours. Read reviews from similar-sized companies in your sector, not just generic praise. Do not rush the decision. Switching later is possible, but it takes time and effort. Finally, review your choice annually. As your business changes, your software needs may change too. The right cloud accounting software should feel like a helpful assistant, not another chore.

Discover key features like automation, bank feeds, and reporting that can make a difference for your small business bookkeeping.
